Send your note-taker’s summaries to AskTask
Note-taker apps such as Fireflies, Otter, Fathom and Google Meet’s “Take notes for me” email a summary after each meeting. With one Gmail filter, those summaries go straight into AskTask’s Capture, where AskTask suggests the tasks, questions and decisions in them. There’s nothing to install.
Before you start
- AskTask connected to your work Gmail: in AskTask, Settings › Connected apps › Google, with Gmail ticked.
- Your note-taker set to email its summaries to you. Most do this by default; check the app’s email or recap settings.
Make the Gmail filter
- In Gmail, open one of your note-taker’s summary emails.
- Open the ⋮ menu at the top right of the email and choose Filter messages like these. Gmail fills in the sender’s address.
- Choose Create filter.
- Tick Apply the label and choose AskTask. If you don’t have that label yet, choose New label… and name it AskTask.
- To bring in the last two weeks’ summaries too, tick Also apply filter to matching conversations.
- Choose Create filter.
Using more than one note-taker? Repeat these steps for each app, or put all their addresses in the filter’s From box, separated by OR.
What happens next
A few minutes after each meeting, its summary arrives in Capture › To review. It comes from the note-taker rather than someone you work with, so AskTask asks which suite it’s for. Pick the suite, then choose Sort this. Nothing is filed until you accept it.
AskTask reads only emails with your AskTask label. Emails that were more than 14 days old when they were labelled wait in To review with Bring them in.
