Privacy policy

AskTask is made by Red 11 Media LLC. This policy explains what AskTask collects, why, who processes it for us, how long we keep it and the choices you have. In short: your studio’s information is used only to run AskTask for you. We don’t sell it, we don’t use it for advertising, and we don’t use it to train AI models.
What we collect
- Your account: your name and email address and, if you sign in with Google, your Google profile name and picture.
- If you join the beta waitlist: your name and email address and, if you tell us, what you do and how many customers or projects you have. We use them only to send your invite or tell you about the launch, and delete them when you ask. To stop spam, we also keep a fingerprint of your IP address and of your email address (made with a secret key or a one-way hash, not the addresses themselves) for two days.
- What you put into AskTask: suite and project details, tasks, questions, ideas, decisions, notes, briefs, files, screenshots, meeting notes, messages you paste in, and your chats with Ask.
- If you’re invited to a suite as a guest: your name and email address, and what you add there, such as answers, comments, files and messages you send. The people who run that suite can see it. We email you when someone puts you on something, mentions you or answers you, and you can choose how often in your notification settings.
- Apps you choose to connect, as described below. We read only what each feature needs, and only after you connect it.
- Time you track and the billing details you enter, such as rates.
- Payment details, once checkout opens: Paddle collects them. We receive your plan, its status and the name and country on the invoice, never your full card number.
- Usage events: which screens and buttons are used, counted without any of your content. You can turn this off in Settings → Usage.
- Technical information needed to keep the service running, such as sign-in records and error codes.
- To warn you about sign-ins from a new device: for each device you sign in from, the browser and system type (like “Chrome on Mac”), an approximate place (a city, from our web host) and a random device code we store only scrambled. We keep these up to 90 days after the device’s last sign-in, and never your IP address.
How we use it
- To run AskTask for you: sorting what you capture into suggestions you approve, answering questions about a suite with links to the sources, planning your day around your calendar, and preparing reports and emails you choose to send.
- To keep each suite’s information separate: the AI only sees one suite’s records at a time, unless you choose “Across all suites”.
- To let the people you invite as guests open the parts of a suite you choose, and nothing else.
- To send you messages about your account, such as sign-in codes, invitations and notices about your trial or plan.
- To keep the service secure, fix problems, and decide which features to keep, simplify or remove, using usage counts, never content.
We never sell your information, show you ads, or use your content to train general-purpose AI models.
Google user data
Signing in with Google gives AskTask your name, email address and profile picture. Calendar, Gmail and Drive are separate: AskTask asks for each one only when you turn that feature on in Settings → Connected apps.
Google Calendar
With read access (calendar.readonly) AskTask reads your events from about 60 days back to 60 days ahead, to show them on Home, suggest which suite a meeting belongs to, plan your day around them and offer past meetings as time entries. With event access (calendar.events), Plan my day adds the time blocks you planned to your calendar and removes them if you undo the plan. AskTask doesn’t change or delete your other events.
Gmail
With read access (gmail.readonly) AskTask reads only the emails you star or give its label, and your own replies in those conversations, and turns them into suggestions you review. Labelled emails can be sorted by the AI automatically; nothing is filed until you accept it, and you can turn automatic sorting off for each account. For labelled mail older than 14 days, AskTask checks only its details, such as the date, and brings it in only if you ask. With send access (gmail.send) AskTask sends only emails you write or approve in AskTask, from your own address. With labels access (gmail.labels) AskTask makes a label for each suite you can edit (your private suites aren’t labelled), in every studio you’re in, under its own label (which it also makes if needed), and renames a label it made when that suite is renamed; it doesn’t delete labels, put them on emails or make filters, and the labels stay in Gmail if you disconnect. It doesn’t read the rest of your mailbox.
Google Drive
AskTask asks only for access to the files you use with it (drive.file). It sees only the Drive folders and files you pick in Google’s own Drive window (which loads from Google in your browser when you pick), and the documents it saves to your Drive when you ask (from Ask, into the suite’s folder you picked). It keeps their names, types, sizes and links, so they show in that suite’s Files; it doesn’t download, read, change or delete the files you pick. Google accounts connected before 22 October 2026 also allowed read access (drive.readonly): until you choose “Switch Drive to files you pick” (Settings → Connected apps), AskTask can list the other files in the suite folders you linked, and nothing more.
Limited Use
AskTask’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Information from Google is used only to provide the features you turn on; it is not used for advertising, not sold, not used to train generalized AI models, and not read by people except with your permission, for security or to comply with the law. It is shared with the AI providers below only to provide those features to you.
Disconnect at any time in Settings → Connected apps, which deletes the stored access and synced calendar events. You can also remove AskTask from your Google Account’s connections.
Other connected apps
Slack: the threads and channel ranges you bring in, and messages you choose to send. Monday: items assigned to you and their updates on the boards you link, and the updates and status changes you make from AskTask. Asana, ClickUp, Trello, Basecamp and Jira: in the projects, lists or boards you link to a suite, the items assigned to you or added from AskTask, and the comments on them. AskTask adds items, changes their status and posts comments only when you or your teammates act in AskTask.
AI processing
To sort captures, answer questions, plan your day and draft text, AskTask sends the records a task needs to Anthropic’s Claude models. To make past records searchable, it sends their text to Voyage AI, through MongoDB Atlas, which turns it into search data. Both process it only to send the result back. Anthropic’s commercial terms don’t allow it to train models on this data, and we have turned off training on our data for Voyage AI. If your studio uses its own AI key, those calls go to Anthropic under your own account.
Help chats and screenshots (planned)
We plan to add a help chat inside AskTask. If you use it, we keep the conversation and any screenshot you choose to attach, to answer you and fix problems. Before a screenshot is saved you can cover names and personal details with one button; images you upload yourself aren’t covered automatically. Screenshots and personal details stay in AskTask. Bug reports may be copied to our private issue tracker without them.
Who processes it for us
These companies process information only so AskTask can work:
| Company | What for |
|---|---|
| Supabase | Database, sign-in and file storage, hosted in the United States (US East) |
| Vercel | Hosting for the AskTask website and app |
| Anthropic | Claude AI models that sort captures, answer questions and draft text |
| Voyage AI (MongoDB Atlas) | Search data for Ask and History |
| Resend | Sign-in codes, invitations, notices and the emails you send through AskTask |
| Paddle | Payments, tax and invoices, once checkout opens |
| Google, Slack, Monday, Asana, ClickUp, Trello, Basecamp, Jira | Only when you connect them, as described above |
How long we keep it
- Your studio’s information stays while your account is open, so you can look back at what was decided and tried. Archived items stay, and stay searchable, until you delete them.
- When a guest’s access to a suite is removed, they can no longer open it. What they added there stays in the suite.
- When you delete an item permanently, it is removed from search, the AI’s look-back and file storage straight away, and its entries in the change history are blanked.
- Exports you download are removed from our storage after a day.
- Nightly database backups are encrypted and kept for 30 days, so deleted information leaves the backups within about 30 days.
Deleting your information
- Delete any item from its ⋯ menu. Archive keeps it; Delete removes it.
- Studio owners can permanently delete a suite or the whole studio in Settings → Account & billing, after confirming it’s them. Deleting your account removes your private suites.
- Or email support@asktask.app from your account’s address and we’ll do it for you. We confirm the request and finish within 30 days.
Security
Information is encrypted in transit and at rest, each person sees only the studios and suites they’ve been given, a guest only the parts of a suite they were invited to, and two-step login is available to everyone (a studio owner can require it). More on the Security page.
Your choices
- See, export, correct or delete your information from Settings, or ask us to do it for you, wherever you live.
- Disconnect any connected app at any time.
- Turn off usage events in Settings → Usage.
Children
AskTask is a business tool and isn’t meant for anyone under 16.
